What equipment is needed for a livestream or webinar?

At its core it comes down to cameras, sound and a production that brings it all together. A single camera captures a speaker; multiple cameras create a lively broadcast that also shows the room, the presentation and a panel. The sound comes straight from the audio system, so viewers at home hear speakers just as clearly as the audience in the room. You also need a stable internet connection and an encoder that sends the signal to the streaming platform. Lighting is often underestimated, while it is precisely the lighting that makes the difference between an amateur image and a professional look. Finally there is the graphics layer: title banners with the speaker's name and role, a leader at the start and visuals or backgrounds in your house style. We design these in advance and play them in live from the gallery.

Which platforms can we broadcast to?

Almost any platform is possible: YouTube, Vimeo, LinkedIn, Facebook, Microsoft Teams, Zoom or your own private web page. Together we decide what suits the purpose of the broadcast. A public channel is often practical for an open programme, while an internal meeting works better on a private page with registration or a password. Broadcasting to several platforms at once is possible too, as is a stream accessible to invited guests only.

Can the broadcast be watched back afterwards?

Yes. We record every livestream, even when nothing is broadcast live. We deliver that recording afterwards as a file or as a private video link, usually within a few working days. If you wish, we edit the recording into separate sessions, a summary or an aftermovie, so you can keep using the material on your website, in a newsletter or on social media.

What is needed at the venue?

Mainly power, space for the setup and access to the room well before the start, so that everything can be built and tested calmly. The broadcast needs a stable internet connection, and a wired connection is preferred. If there is none, or the network is unreliable, we work with our own 4G or 5G connection so the stream stays dependable. We discuss camera positions, sightlines and the location of the gallery with the venue in advance, so the setup never gets in the way.

How does the preparation for a livestream or webinar work?

We start with the running order: who speaks when, which presentations and videos are shown and what needs to happen online. On that basis we decide on the number of cameras, the setup and the production. We prefer to receive presentations and videos a day in advance so that everything is tested beforehand. On the day itself we run a rehearsal with the speakers, including microphones and vision changes. During the broadcast our technician operates the gallery and someone keeps an eye on the stream and the chat, so you can focus on the programme.
