Congress technology is everything needed to get your message to the audience, in the room and remotely, and to let that audience answer back. Unlike an event, the technology here is not the show but a transport layer for content: it succeeds when nobody notices it. That calls for equipment matched to the room, for a control position that brings everything together, and above all for people who understand what is at stake when something falters. IFS Audiovisueel has been making those decisions since 1962, from a compact members' meeting to a multi-day international congress with parallel sessions. Everything your audience hears and sees. We match the sound system to the size and acoustics of the room, with the microphones that suit your programme, from lapel and headset to discussion units with a talk button for a panel or a members' meeting. For vision we choose between projection and an LED screen based on the light in the room, and calculate in advance what size is needed for the back row to read along effortlessly. Lighting makes speakers come across open and natural, in the room and on camera, and gives the space atmosphere in your own house style. The stage is built to measure, with pipe & drape as a clean back wall and décor or banners where that strengthens the impression.
More and more congresses have participants who are not physically present. We build one control position where room and online come together: questions from the chat are answered in the room, a remote speaker appears large on screen beside the chair, and room sound and presentations run through the broadcast. We can stream to any common platform or to a private page, and at venues without a reliable network we broadcast over our own 4G or 5G connection. We also record the meeting if you wish, so you can watch the programme back afterwards or have it edited into separate sessions or an aftermovie. And if you want everyone to be able to follow, we provide a hearing loop or Auracast for hard-of-hearing participants and live subtitling or translation for those who speak another language.
Almost every congress programme stalls on the same things: speakers arriving with their own laptop, a font that shifts the moment the slides open on another system, a video that plays but produces no sound. We collect every presentation in advance, load them centrally onto one system and check them before the first speaker steps onto the stage. During the programme our technician plays them from the control position, while the speaker advances their own slides and sees on a confidence monitor exactly what the room sees, with a countdown clock for speaking time beside it. No shuffling of laptops and cables between speakers, and your programme runs on time.
You can hire equipment; experience you cannot. During your programme a technician sits at the control position, steering sound, vision and lighting as one, watching the room and stepping in before you or your audience notice anything. Preparation comes first: a site visit where we establish power, cabling, sightlines and where the control position can stand, your running order gone through line by line, and a rehearsal with the speakers on the day. Our technicians arrive in suits, with laptop and service case, and stay all day, including in secure environments, where they work with a certificate of conduct and comply with GDPR. With several rooms a project manager joins to oversee the whole and act as your fixed point of contact.
