What is a fixed AV installation, and when does it make more sense than renting?

In a fixed installation, the audiovisual technology is permanently built into the room: screens or projection, a sound system, microphones, cameras, controls and all the associated cabling. This makes sense above all for rooms in regular use, such as boardrooms, council chambers, auditoriums, churches, theatres and training rooms, where rigging equipment each time costs both time and money. A fixed installation is also more neatly finished, always available, and operable by in-house staff without technical knowledge. For occasional use, temporary premises or constantly changing layouts, renting generally remains the wiser choice.

How does such a project run from design to handover?

It starts with a site survey and a schedule of requirements: who uses the room, for what, with how many people, and which integrations are needed, for example with meeting software or a streaming platform. A design follows, covering equipment selection, positions, cable routes and a control concept, coordinated with the architect, electrical contractor and builder. Cables are then pulled, equipment mounted, and the system configured and programmed so that operation matches everyday use. Handover consists of testing, a user instruction session, and documentation including drawings, settings and credentials.

What structural aspects need to be considered?

The main points are cable routes, power supply and mounting positions, all of which should be settled during the building phase, because chasing walls afterwards is expensive. For image quality, sightlines, daylight and blackout matter; for sound, the acoustics of the room are decisive, since hard walls and ceilings make any system less intelligible. Increasingly, AV runs over the data network, which means agreements with the IT department about bandwidth, VLANs and management are needed as well. Ceiling structures, rigging points and weight also require a load-bearing check, particularly for larger screens, loudspeakers and projectors.

Why is maintenance necessary, and what does a contract cover?

Equipment in daily use wears and ages: filters and optics collect dust, connections work loose, and software and firmware fall behind, causing integrations with meeting platforms to stop working. A maintenance contract typically covers periodic inspection, cleaning, updates, verification of settings, and a fault service with an agreed response time. Replacement equipment is often included, so a failed screen or amplifier does not put a meeting at risk. Statutory checks belong here too, such as electrical testing of equipment and inspection of suspended structures and rigging points.

How long does an installation last, and when should it be replaced?

A fixed AV installation is usually planned around a service life of five to ten years, with cabling and structural work lasting longer than the equipment itself. Lamp-based projectors need lamp replacements along the way, while laser projectors and screens are generally lower-maintenance. Often the trigger is obsolescence rather than wear: manufacturers end support, video and network standards change, or the way people meet shifts towards hybrid. Phased replacement is then attractive, keeping the infrastructure in place and renewing only the equipment.
